We encourage you to read this document carefully. By participating in any Becoming Her Sisterhood program, event, or community, you acknowledge and agree to the practices described herein.

2. Information We Collect

Becoming Her Sisterhood collects only the personal information that is voluntarily provided by members and clients. We believe in collecting only what is necessary to serve you well. The personal information we collect is limited to the following:

Full name
Phone number
Email address
City and state of residence
Emergency contact information (name and phone number)

Becoming Her Sisterhood does not collect sensitive financial data, Social Security numbers, government-issued identification numbers, or any other sensitive identifying documentation. We gather only what is needed to provide you with the best possible experience within our community.

3. How We Use Your Information

All personal information collected by Becoming Her Sisterhood is used exclusively for internal organizational purposes. Your information will never be used for commercial profiling, data mining, or advertising of any kind. Specifically, your personal information may be used to:

Communicate with members and clients regarding programs, events, coaching sessions, and services
Maintain accurate and current membership and client records
Provide access to your emergency contact information when it is necessary for your safety

You retain the right to opt out of marketing or newsletter communications at any time by contacting us directly using the information provided in Section 10 of this Policy. Opting out of marketing communications will not affect your membership status or access to services.

Your information is never used for commercial profiling and is never shared with third-party advertisers or any entity for promotional purposes.

Becoming Her Sisterhood takes the security of your personal information seriously. All personal data is stored using encryption and industry-standard data protection practices designed to safeguard your information from unauthorized access, disclosure, alteration, or destruction.

The following security practices are maintained at all times:

Access to personal information is restricted to authorized Becoming Her Sisterhood staff and leadership only
Personal data is not stored on unsecured devices, shared drives, or unprotected platforms
All systems used to store member and client data are subject to regular review to ensure continued security compliance
Staff and leadership with access to member data are held to strict confidentiality standards

We are committed to maintaining the confidentiality and integrity of all member and client information throughout every stage of our relationship with you.

5. No Sale or Sharing of Personal Information

Becoming Her Sisterhood does not sell, rent, lease, trade, or otherwise share your personal information with any third party — including marketers, advertisers, data brokers, or other organizations — for any commercial purpose, under any circumstances.

This commitment is absolute. Your personal information belongs to you, and it will remain protected within the organization.

Limited exceptions to this policy exist only in the following narrow circumstances:

Where disclosure is required by applicable law, including in response to a valid court order, subpoena, or lawful government request
Where disclosure is necessary to protect the safety of a member, client, or the public in an emergency situation

In any circumstance where disclosure may be legally compelled, Becoming Her Sisterhood will make every reasonable effort to notify the affected individual to the fullest extent permitted by law prior to any disclosure.

6. Kentucky Privacy Rights

As a Kentucky-based organization serving Kentucky residents and beyond, Becoming Her Sisterhood recognizes and respects the privacy rights available to individuals under applicable Kentucky privacy laws. The following rights apply to all members and clients:

Right to Access: You have the right to know what personal information Becoming Her Sisterhood holds about you and to understand how that information is being used.
Right to Correction: You have the right to request that any inaccurate, outdated, or incomplete personal information in our records be corrected in a timely manner.
Right to Deletion: You have the right to request the deletion of your personal information from our records. Deletion requests will be honored subject to any legal retention requirements that may apply.
Right to Obtain a Copy: You have the right to receive a copy of the personal information that Becoming Her Sisterhood holds on file for you.
Right to Opt Out of Marketing: You have the right to opt out of receiving marketing communications, newsletters, or promotional announcements at any time by contacting the organization directly.

How to Exercise Your Rights: To exercise any of the rights described above, members and clients may submit a written request by email to the contact address provided in Section 10 of this Policy. Please include your full name and a brief description of your request. Becoming Her Sisterhood will acknowledge your request and respond within 30 days of receipt. In some cases, we may need to verify your identity before processing a request to protect the security of your information.

7. HIPAA Clarification & Voluntary Alignment with Confidentiality Standards

Becoming Her Sisterhood is a coaching and community organization, not a healthcare provider. As such, the organization is not legally regulated by HIPAA (the Health Insurance Portability and Accountability Act of 1996), which applies specifically to covered healthcare entities and their business associates.

However, because the privacy, dignity, and trust of our members and clients are among our highest values, Becoming Her Sisterhood has made a deliberate choice to voluntarily align its confidentiality practices with HIPAA-level standards. This means we hold ourselves to the same rigorous confidentiality expectations that govern healthcare providers, including:

Treating all personal disclosures made within coaching sessions or community settings as strictly confidential
Limiting access to personal information on a need-to-know basis — only those who require access to serve you will have it
Implementing secure storage and data handling practices consistent with industry standards
Never disclosing personal information shared in a coaching or community context without the express consent of the individual, except in the limited circumstances described in Section 5

This voluntary commitment reflects our belief that every woman in our community deserves the highest standard of care, respect, and discretion — regardless of what the law may or may not require.

8. Data Retention

Becoming Her Sisterhood retains personal information only for as long as a member or client maintains an active relationship with the organization, or for as long as retention is required by applicable law.

Upon the conclusion of a membership or coaching relationship, or upon written request, personal information will be securely deleted or anonymized in a manner that prevents reconstruction or re-identification. We do not retain personal information beyond what is necessary or legally required.

Members and clients may submit a data deletion or anonymization request at any time by contacting us using the information provided in Section 10.

9. Changes to This Policy

Becoming Her Sisterhood reserves the right to update or modify this Privacy Policy at any time to reflect changes in our practices, applicable laws, or organizational operations. Any material changes to this Policy will be communicated to all active members and clients via email notice and/or a notice posted on the organization's website.

Continued participation in Becoming Her Sisterhood programs, events, or community following the delivery of notice of a material change to this Policy constitutes your acceptance of the updated terms.

The Effective Date displayed at the top of this document will always reflect the date of the most recent version of this Privacy Policy. We encourage members and clients to review this Policy periodically to remain informed of how we protect your information.
